
Conference Policies
The following policies apply to all participants attending CISTM20 – the 20th Conference of the International Society of Travel Medicine (ISTM). By registering for and/or attending CISTM20, participants agree to comply with these policies.
Registration Cancellation Policy
Registration cancellations must be submitted in writing at least 90 days prior to CISTM. All cancellations are subject to a $100 processing fee, and refunds are issued within 30 days after the conference concludes. No refunds will be granted for cancellations made fewer than 90 days prior to 1 February 2027, except in cases of extenuating circumstances. In those situations, a written request must be submitted via email within 15 days of the conclusion of the conference.
All registration cancellations must be emailed to ISTM.
Guest Policy
Registered attendees may purchase a guest pass for $150. Guest registration provides access to the exhibit hall and admission to the Opening and Closing Ceremonies. Guest passes do not permit entry to scientific sessions.
Photography, Video, and Recording Policy
ISTM may photograph, video record or otherwise capture images and audio during CISTM20 sessions and events. These materials may be used by ISTM for educational, promotional and communication purposes, including websites, social media, publications and marketing materials.
By attending CISTM20, participants grant ISTM permission to use their image, likeness and voice as captured during the conference.
Opt-Out Option
Participants who do not wish to be photographed or recorded must notify ISTM in advance by emailing ISTM and include a current photograph to assist staff in identifying the participant onsite. While ISTM will make reasonable efforts to honor opt-out requests, complete exclusion from all images cannot be guaranteed.
Networking and Professional Conduct
CISTM20 provides opportunities for professional networking, collaboration, and exchange of ideas. All participants are expected to conduct themselves in a respectful, professional, and inclusive manner. Unwelcome behavior, harassment, or inappropriate conduct of any kind will not be tolerated. This applies to all conference activities, including scientific sessions, social events, networking functions, and digital interactions.
Safe Attendee Policy
ISTM is committed to providing a safe, respectful and inclusive environment for all conference participants, regardless of gender, gender identity or expression, sexual orientation, disability, physical appearance, race, age, religion or professional role.
Participants are expected to treat others with dignity and respect, engage in professional and courteous dialogue and refrain from disruptive, discriminatory or harassing behavior.
ISTM reserves the right to take appropriate action, including removal from the conference without refund, for behavior that violates this policy.
Policy Enforcement and Reporting
Participants who experience or witness conduct that violates these policies are encouraged to report concerns promptly to ISTM staff onsite or by emailing ISTM.
All reports will be handled as confidentially as possible and reviewed in accordance with ISTM procedures.
Acknowledgment
By registering for and/or attending CISTM20, participants acknowledge that they have read, understood and agree to abide by these policies.
